Introduction#

The Odoo Sales Module is a comprehensive tool designed to streamline and manage your company's sales processes. From creating quotations to processing orders and generating invoices, this module provides the functionality you need to efficiently handle your sales operations.

This manual will guide you through the key features and workflows of the Odoo Sales Module.

The typical workflow in the Odoo Sales Module involves the following steps:

Creating a Quotation#

  1. Navigate to the Sales Module.
  2. Click on "New" to create a new quotation.
  3. Select a customer.
  4. Add products and quantities to the order lines.
  5. Set an expiration date for the quotation.
  6. Save the quotation.
  7. Send the quotation to the customer by email (optional).

Confirming a Sales Order#

  1. Once the customer accepts the quotation, confirm it to create a sales order.
  2. The status of the quotation will change to "Sales Order."

Creating an Invoice#

  1. Once the sales order is confirmed, you can create an invoice. Odoo supports both regular invoices and down payment invoices.
  2. Click on "Create Invoice."
  3. Review the invoice details.
  4. Confirm the invoice.

Detailed Instructions#

1. Creating a Quotation#

  1. Go to the "Sales" module.
  2. Click on "New".

  3. In the quotation form:

  4. Select a customer from the dropdown menu or create a new one.
  5. Add products to the quotation:
    • Click on "Add a product" under the "Order Lines" tab.
    • Search for and select the desired product.
    • Enter the quantity.
  6. Set the "Expiration" date.
  7. Review other details such as "Pricelist" and "Payment Terms."
  8. Click "Save". Sales

  9. To send the quotation to the customer:

  10. Click on "Send by Email".
  11. Customize the email message if needed.
  12. Click "Send".

2. Confirming a Sales Order#

  1. Open the quotation you want to confirm.
  2. Click on "Confirm".

  3. The quotation status will change to "Sales Order".

3. Creating an Invoice#

  1. Open the confirmed sales order.
  2. Click on "Create Invoice". Sales

  3. In the "Create Invoice" pop-up window, you have the following options:

  4. Regular invoice: This will create a standard invoice for the full amount of the order.

    • Select "Regular invoice".
    • Click "Create and View Invoice".
    • Review the invoice.
    • Click "Confirm" to post the invoice. Sales
  5. Down Payment: This allows you to invoice a portion of the order amount as a down payment. Odoo will then track the remaining balance.

    • Select "Down payment (percentage)" or "Down payment (fixed amount)".
    • Enter the down payment amount or percentage.
    • Click "Create and View Invoice". This creates an invoice for the down payment amount.
    • Review the invoice.
    • Click "Confirm" to post the down payment invoice. Sales
  6. The remaining balance can be invoiced later, as needed. When you are ready to invoice the remaining balance, repeat the "Create Invoice" process. Odoo will calculate and display the remaining amount due.

  7. In the invoice form:
  8. Verify the customer details.
  9. Review the invoice lines.
  10. Check the "Invoice Date", "Payment Terms" and "Journal".
  11. Click "Confirm" to post the invoice. Sales

Additional Functions#

  • Products: You can manage your products, including descriptions, prices, and availability, in the "Products" section of the Sales module. Sales

  • Customers: Customer details, including addresses and contact information, can be managed within the Sales module.

  • Reporting: The Odoo Sales Module provides various reports to help you analyze your sales performance, track quotations, and manage invoices.

Troubleshooting#

  • Cannot create an invoice: Ensure that the sales order is confirmed.
  • Cannot send quotation by email: Verify that your email settings are configured correctly in Odoo.
  • Incorrect product prices: Check the pricelist assigned to the customer.
