Creating and managing projects#

Creating a Product#

  1. Open the Ametnes Legal ERP system.
  2. Navigate to the Products section and create a new product.
  3. Set the Product Type to Service.
  4. For Invoice Policy, choose Time Sheets.
  5. For the Rate, set the pricing (e.g., $400 per hour).
  6. Set the Unit of Measure to Hour.
  7. Save the product (e.g., "Intellectual Property Legal Consultation").

Create a Sales Order#

  1. Go to Quotations and create a new quotation.
  2. Search for an existing customer (e.g., Lumina PTY).
  3. Set Payment Terms to Immediate Payment upon Invoice Provision.
  4. Add the product (e.g., Intellectual Property Consultation) to the quotation.
  5. Specify the estimated hours for the project (e.g., 15 hours).
  6. The system will automatically calculate the total price (e.g., $6,900).
  7. Adjust the price if necessary based on customer negotiation.
  8. Confirm the order.

Create a Project Linked to the Sales Order#

  1. Once the order is confirmed, a Project and a Task will automatically be created and linked to the sales order.
  2. You can then email the sales order to the customer for digital signing.

Access the Project and Task#

  1. Go to Projects in the system.
  2. Open the newly created project linked to the sales order.
  3. You will see a default task (e.g., "Intellectual Property Consultation").
  4. If needed, you can add additional tasks for larger projects or to distribute work among team members.

Assign Task and Log Time#

  1. Assign the task to an employee (e.g., Shan Khan).
  2. Log the time spent on the project (e.g., 4 hours for an initial client meeting).
  3. The system will automatically update the remaining hours based on the logged time.

Create an Invoice#

  1. Go to the Sales Order and review the hours logged (e.g., 4 hours delivered out of 15).
  2. Create an invoice based on the time logged by specifying the timesheet period.
  3. The system will calculate the invoice total (e.g., $1,840 for 4 hours).
  4. Confirm and send the invoice to the customer.

Receive Payment#

  1. Once the customer makes a payment, log the payment in the system.
  2. Select the payment method (e.g., Bank or Cash).
  3. Create and register the payment.

Track Progress#

  1. Go back to the project and check the progress.
  2. For example, 4 hours have been invoiced, with 11 hours remaining.
  3. Continue logging time and invoicing as the project progresses.

Manage Multiple Tasks and Employees#

  1. If there are multiple tasks or employees, you can assign tasks to different team members.
  2. The system will track hours and ensure that invoicing reflects the actual time spent.

By following these steps, you can successfully create and manage a non-litigation legal project within the Ametnes Legal ERP system.
