Creating and managing projects#
Creating a Product#
- Open the Ametnes Legal ERP system.
- Navigate to the Products section and create a new product.
- Set the Product Type to Service.
- For Invoice Policy, choose Time Sheets.
- For the Rate, set the pricing (e.g., $400 per hour).
- Set the Unit of Measure to Hour.
- Save the product (e.g., "Intellectual Property Legal Consultation").
Create a Sales Order#
- Go to Quotations and create a new quotation.
- Search for an existing customer (e.g., Lumina PTY).
- Set Payment Terms to Immediate Payment upon Invoice Provision.
- Add the product (e.g., Intellectual Property Consultation) to the quotation.
- Specify the estimated hours for the project (e.g., 15 hours).
- The system will automatically calculate the total price (e.g., $6,900).
- Adjust the price if necessary based on customer negotiation.
- Confirm the order.
Create a Project Linked to the Sales Order#
- Once the order is confirmed, a Project and a Task will automatically be created and linked to the sales order.
- You can then email the sales order to the customer for digital signing.
Access the Project and Task#
- Go to Projects in the system.
- Open the newly created project linked to the sales order.
- You will see a default task (e.g., "Intellectual Property Consultation").
- If needed, you can add additional tasks for larger projects or to distribute work among team members.
Assign Task and Log Time#
- Assign the task to an employee (e.g., Shan Khan).
- Log the time spent on the project (e.g., 4 hours for an initial client meeting).
- The system will automatically update the remaining hours based on the logged time.
Create an Invoice#
- Go to the Sales Order and review the hours logged (e.g., 4 hours delivered out of 15).
- Create an invoice based on the time logged by specifying the timesheet period.
- The system will calculate the invoice total (e.g., $1,840 for 4 hours).
- Confirm and send the invoice to the customer.
Receive Payment#
- Once the customer makes a payment, log the payment in the system.
- Select the payment method (e.g., Bank or Cash).
- Create and register the payment.
Track Progress#
- Go back to the project and check the progress.
- For example, 4 hours have been invoiced, with 11 hours remaining.
- Continue logging time and invoicing as the project progresses.
Manage Multiple Tasks and Employees#
- If there are multiple tasks or employees, you can assign tasks to different team members.
- The system will track hours and ensure that invoicing reflects the actual time spent.
By following these steps, you can successfully create and manage a non-litigation legal project within the Ametnes Legal ERP system.
