Effective task and timesheet management is crucial for tracking project progress, managing resources, and controlling costs in construction projects.

Overview#

The Tasks and Timesheets module enables:

  • Creating and managing project tasks
  • Assigning tasks to team members
  • Creating subtasks for detailed work breakdown
  • Recording time spent on tasks
  • Tracking labor costs
  • Monitoring task progress and completion

Project Tasks#

Creating Tasks#

  1. Navigate to your construction project.
  2. Go to the Tasks tab.
  3. Click Create to add a new task.

Task Details#

When creating a task, specify:

  • Task Name: Descriptive name
  • Project: Link to construction project
  • Work Package: Link to work package (optional)
  • Assigned To: Team member responsible
  • Planned Start Date: When work should begin
  • Planned End Date: Expected completion
  • Priority: High, Medium, Low
  • Description: Detailed task information
  • Tags: Categorize tasks (e.g., Foundation, Structure, Finishing)

Task Views#

List View#

  • See all tasks in a table format
  • Filter by assignee, status, priority, or tags
  • Sort by dates, priority, or name
  • Quick status updates

Kanban View#

  • Visual board organized by status
  • Drag and drop to update status
  • Quick overview of task distribution
  • Easy task management

Gantt View#

  • Timeline visualization
  • See task dependencies
  • Identify critical path
  • Resource allocation timeline

Creating Subtasks#

From Parent Task#

  1. Open the parent task.
  2. Click Create Sub Task button.
  3. Subtask Wizard opens:
  4. Enter subtask name
  5. Assign to team member
  6. Set dates and priority
  7. Link to parent task (automatic)
  8. Save the subtask.

Subtask Management#

  • View all subtasks under parent task
  • Track subtask progress independently
  • Update parent task status based on subtasks
  • Link subtasks to work packages

Example Subtask Structure#

Main Task: Foundation Excavation - Subtask 1: Site Survey and Marking - Subtask 2: Excavation Work - Subtask 3: Soil Testing - Subtask 4: Foundation Layout

Task Dependencies#

Setting Dependencies#

  1. Open a task.
  2. Go to Dependencies section.
  3. Add predecessor tasks (must complete before this task)
  4. Add successor tasks (cannot start until this task completes)

Dependency Types#

  • Finish to Start: Next task starts after previous finishes
  • Start to Start: Tasks start simultaneously
  • Finish to Finish: Tasks finish together
  • Start to Finish: Rare, specific use cases

Timesheet Management#

Recording Time#

  1. Navigate to Timesheets in your project.
  2. Click Create to log time.
  3. Enter timesheet details:
  4. Employee: Team member
  5. Task: Link to project task
  6. Date: Work date
  7. Hours: Time spent
  8. Description: Work performed
  9. Cost: Labor cost (auto-calculated or manual)

Timesheet Views#

Daily Timesheet#

  • Record time for each day
  • Multiple tasks per day
  • Total hours per day
  • Overtime tracking

Weekly Timesheet#

  • Weekly summary view
  • Hours by task
  • Hours by employee
  • Cost summary

Task Timesheet#

  • View all time entries for a task
  • Total hours per task
  • Labor cost per task
  • Progress tracking

Timesheet Approval#

  1. Employee submits timesheet.
  2. Supervisor reviews entries.
  3. Options:
  4. Approve: Timesheet accepted
  5. Reject: Return for correction
  6. Request Changes: Modify entries

Task Status Management#

Status Types#

  • To Do: Not yet started
  • In Progress: Currently being worked on
  • Blocked: Cannot proceed (specify reason)
  • Done: Completed and verified
  • Cancelled: No longer required

Updating Status#

  1. Open the task.
  2. Update status field.
  3. Add comments if status changes to Blocked.
  4. Save changes.

Task Reports#

Available Reports#

  1. Task Status Report: Current status of all tasks
  2. Timesheet Report: Hours logged by employee/task
  3. Task Progress Report: Completion percentages
  4. Labor Cost Report: Costs by task/employee
  5. Task Timeline Report: Schedule adherence

Generating Reports#

  1. Navigate to ReportingTasks.
  2. Select report type.
  3. Apply filters (date range, project, assignee).
  4. Generate and export report.

Best Practices#

  1. Break Down Work: Create subtasks for complex activities.
  2. Regular Updates: Update task status daily.
  3. Accurate Timesheets: Record time immediately after work.
  4. Clear Descriptions: Provide detailed task information.
  5. Set Dependencies: Link related tasks properly.
  6. Monitor Progress: Review task status regularly.

Tasks and Timesheets integrate with:

Task Templates#

Creating Templates#

  1. Create a task structure you use frequently.
  2. Save as template.
  3. Reuse for similar projects.

Using Templates#

  1. When creating new project, select template.
  2. System creates all tasks from template.
  3. Customize dates and assignees as needed.
